Payroll administrator

A payroll administrator is the named, employer-side owner of payroll operations, from employee records and inputs to the run, reports, and employee questions.

Small employers often combine approval and funding in the same person; larger ones may name a separate approver and funding signer. Payroll knowledge tends to sit with one or two people, so a departure, illness, or year-end vacation creates real operating risk. A workable roster names a primary administrator, a backup, an approver, a billing contact, and any executive sponsor. Administrators often hold the rights that matter most: payroll approvalPayroll approval. Payroll approval is an employer’s affirmative authorization of a calculated payroll before the run is funded, locked, and released for payment.Click to open the term, funding changes, and adding users. That roster deserves the strongest authentication available and shared awareness of payment-redirection fraud.

What does a payroll administrator do in each cycle?

The work runs as a cycle: some duties come before a run, some during it, and some after it. Naming who performs each step is what separates a defined role from whoever happens to be available on Thursday. Role-based access then narrows each person to the duties assigned, because a time approver does not need to see what everyone earns.

  1. 01

Before the run. Maintain the organization structure, employee records, pay rates, and deduction setup, then review time, exceptions, and one-time inputs against the cutoff.

  2. 02

During the run. Resolve what the preview flags, then approve the calculated payroll and confirm the funding your bank account has to cover, or route both to the named approver and funding signer.

  3. 03

After the run. Retrieve reports, reconcile the payroll register against what was funded, answer employee questions about pay statements and deductions, and work the exceptions that arrive late.
