Payroll reconciliation
Payroll reconciliation is the recurring check that confirms approved payroll, funding, employee payments, tax liabilities, accounting outputs, and reports agree.
Reconciliation belongs to each payroll close, with quarter-end and year-end checks layered on top. An unexplained difference costs the least to resolve while the run is still recent. A payroll register reports what payroll calculated for one run. Reconciliation compares those figures against funding, settled payments, deposits, and accounting entries. A liability on the register does not prove the deposit was made. A payroll variance review is a separate check before approval, comparing the calculated run with the prior run.
What levels does payroll reconciliation cover?
Money movement reconciles at five levels, and skipping any one of them is where differences hide. Stable identifiers connect the levels, which makes a difference traceable rather than merely visible. Tax liabilities reconcile per legal employer, jurisdiction, tax type, and period rather than as one company total. One combined figure can hide offsetting errors that cancel at the company level. A payroll deduction alone does not prove that funds reached the intended provider.
| LEVEL | WHAT IT CHECKS |
|---|---|
| Payroll | The obligations created equal the approved payroll |
| Batch | The transmitted files equal the intended instructions |
| Bank | Settled debits, credits, returns, and fees match the records |
| Recipient | Each payment traces to a final status |
| Period | Outstanding items, returns, and replacements roll forward into the next period |
